Open Admin console
Sign in with the authorized role and follow Profile menu → Admin console.
Capture the headline volume
Record members, guests, pending invites, available seats, teams, projects, and tasks.
Review the breakdown
Review divisions, representative portfolios, attachments, messages, goals, templates, and external file links.
Record scope and history
Write down organization boundary, verified counts, visibility limitations, oldest active dates, and date checked.
Record what is used—not just what is available.
Asana has no universal byte-size meter. Use membership, team and project counts, task volume, attachments, and history.
Storage size does not equal record age.
Visible project and task counts follow permissions unless an authorized super admin uses organization-level tools.
Common reasons your screen may differ.
Counts are visibility-limited+
State that and use membership and team counts as the verified minimum.
Attachments live elsewhere+
Measure their source system separately and avoid double counting.
Prepare or export data only after authorization.
Asana project or domain export
Project exports are available to project members; full organization export is an administrator workflow on qualifying plans.
Typical output: JSON for full organization exports; CSV or JSON for individual projects.
