Used vs. limit

Record what is used—not just what is available.

Used is what the organization currently stores. Limit is pooled capacity from your edition, licenses, and added storage. Record used first; the limit is context, not the amount of data you have.

Historical coverage

Storage size does not equal record age.

The Storage page shows current volume, not the age of the oldest message or file. Estimate historical coverage separately from how long the organization has used Workspace and the oldest permitted records in each service.

Troubleshooting

Common reasons your screen may differ.

Storage is not in the menu+

Ask a super administrator to confirm your role. Full access requires Storage administrator privileges.

The total looks out of date+

Allow up to 24 hours for changes to appear. Google's Drive quota page can reflect some changes sooner.

The total does not reveal record age+

That is expected. Volume and historical coverage are separate facts, so record both independently.

Later-stage process

Prepare or export data only after authorization.

Google Workspace Data Export

For a later, authorized transaction, Workspace can export organization data to a Google Cloud Storage archive. Do not start an export for preliminary eligibility.

Permissions and safeguardsGoogle requires a super administrator account that is generally at least 30 days old, 2-Step Verification for the initiating admin, and Google Cloud access for admins retrieving the archive.

Typical output: Service-organized ZIP archives stored in Google Cloud Storage.
