Used vs. limit

Record what is used—not just what is available.

Teams has no self-contained storage meter because files reside in SharePoint and OneDrive. Measure activity here and file storage in those guides.

Historical coverage

Storage size does not equal record age.

The report uses defined 7-, 30-, 90-, or 180-day windows. Keep the selected window with every metric.

Troubleshooting

Common reasons your screen may differ.

User names are hidden+

Aggregate totals remain sufficient; identifying fields are unnecessary.

Files are the primary dataset+

Complete the SharePoint and OneDrive guides and avoid double counting.

Later-stage process

Prepare or export data only after authorization.

Teams data preparation

Later preparation combines Teams reports with approved Purview, SharePoint, and OneDrive methods.

Permissions and safeguardsObtain Microsoft 365 administrator and legal approval and define chat, channel, meeting, and file sources.
