Capture the headline volume
Record members, guests, teamspaces, visible content rows, page views, edits, and analytics coverage date.
Review the breakdown
Review major databases, forms, automations, file-heavy pages, engagement, last-edited dates, and inaccessible private content.
Record scope and history
Write down plan, workspaces, teamspaces, content scope, analytics window, private-page boundary, and date checked.
Record what is used—not just what is available.
Notion has no universal byte-storage meter. Use content counts, people, activity, attachments, and private-content boundaries.
Storage size does not equal record age.
Workspace analytics commonly show a defined recent history and start when the feature is enabled. Page history has separate limits.
Common reasons your screen may differ.
Analytics is unavailable+
Use members, guests, teamspaces, and accessible top-level pages as the verified minimum.
Several workspaces exist+
Inventory each workspace separately before combining totals.
Prepare or export data only after authorization.
Notion workspace export
Notion exports only content the exporter can access and cannot always be re-imported as a perfect copy.
